How to Fill Out Your Wedding Music Portal (Without Stressing Yourself Out)

Your wedding music portal is the building block to the soundtrack to your day. It tells us what you love, what you dislike, and how you want your wedding to feel. It helps us all keep organized and on the same page with specials songs, and requests for the dancefloor.

The good news? You don’t have to finish it all in one sitting—and it’s actually pretty fun once you get into it.

Here’s a simple, start-to-finish walkthrough to help you knock it out with confidence.

1. Log In & Get Familiar

First things first: grab your login info (in your Client Guide and Music Portal Email!) and access the portal.

Once you’re in, don’t feel like you need to start adding songs immediately. Take a few minutes to click around and see what’s there. You’ll notice different sections for music, forms, and timeline.

Think of this step as a virtual tour—no pressure yet. You can go ahead and link your Spotify account now, or later! (Go to requests, then the tabs at the top will have the Spotify icon)

2. Virtual Walkthrough: Where Everything Lives

Here’s a quick breakdown of the most important areas in your music portal and what they’re for:

  • Music Tab
    Where the fun happens! This is where you’ll add special songs, general requests and must plays, cocktail/dinner music, do not play songs, and it even has a spot where your guests can login and pre-request music.

  • Forms Tab
    You’ll see a form called “Wedding Activities Form”, this is an informational form where you’ll add info like your wedding party’s names, vendor info, and other questions.

  • Timeline Tab

    Here you can build out your timeline, and even pull songs you’ve added as special songs, so you can see everything in one spot! You do not have to fill out our timeline if you already have one from your planner or photographer. We’ll still review it to make sure all the songs, cues, and announcements are accounted for.

3. Add Music! 🎶

This is the fun part!

  • Special Songs:
    Ceremony and reception moments that need specific tracks. Your Client Guide has tips on how to choose each of these songs.

    This is where you’ll add music for key moments like:

    • Ceremony

    • Grand entrance

    • First dance and Parent dances (please add your parents names in the comments, and if you are dancing with someone different than your mom or dad)

    • Cake cutting, last dance, etc.

  • Must Plays:

    Your TOP 10 Non-Negotiable songs, the MOST important songs of the night besides special songs.

  • General Requests aka “Play If Possible”
    This is your big-picture dance floor wish list. Songs you love, songs you and your friends will scream-sing, throwbacks, party hits—anything that fits your vibe.

    • Add songs from:

      • Every genre you like

      • Multiple decades

      • Party hits and slow songs

      • Classic wedding favorites and random throwbacks

  • Do Not Play List:
    This section is almost as important as your must-plays. You don’t need to worry about us sneaking in cheesy music — we’re not dying to play the Chicken Dance 😉.

    Instead, use this list to tell us:

    • Songs you genuinely can’t stand

    • Songs guests might request that you absolutely don’t want played

    • Overplayed wedding staples you’re tired of hearing (Uptown Funk, YMCA, etc., because these are more likely to get played)

    If a song makes you cringe, put it here. We’ll steer clear—no questions asked.

  • Dinner/ Cocktail Hour:

    You have options here; add specific favorite songs, or give us a vibe and let us curate. Either works—we’ve got you. We love a mix of genres or we can do just one, like Classics (Sinatra, Motown, etc.), R&B, Indie / chill vibes. We keep dinner/cocktail vibes upbeat (no “All Of Me” by John Legend here) so guests are excited to hit the dancefloor when it opens.

  • Guest Requests

    You can also let your guests pre-request music!

  • There’s a Guest Requests tab with a link and password

  • Share it with a few friends or add it to your wedding website

  • You’ll be able to see what they submit (don’t worry—you still have final say)

4. Tips That Make a Huge Difference

These little things help us a lot:

  • Don’t need a song for a certain moment?
    Mark it N/A so we know nothing is missing.

  • Use the comment box on songs
    You can leave notes on any song to tell us:

    • When to start or fade out

    • To shout someone out

    • To save a song for “party time” later in the night

  • Can’t find a song?
    Use the Add Your Own tab to add it manually.

  • Use “Add Your Own” to add artists too
    If you write something like “Bruno Mars”, we’ll mix in a few of his songs where they fit—unless you put that artist on the Do Not Play list (in which case we won’t play anything from them).

5. The Wedding Activities Form

Yes, some of this info may feel repetitive—but there’s a reason for it.

This form helps us keep everything in one place and gives us important details like:

  • Wedding party names

  • Vendor list

  • Special announcements, etc.

6. Advice From DJs Who’ve Seen It All

A few final tips to save you stress later:

  • Work on your portal a little at a time
    Once a month is perfect. Don’t save it for the last minute when planning feels overwhelming. This part is supposed to be fun.

  • Finish your portal about one week before the wedding
    This gives us time to prep properly and reach out with any questions.

  • Final planning call about 2–3 weeks out
    Try to have most of the portal filled out by then so we can:

    • Review songs and the general reception vibe

    • Talk through cues

    • Answer questions

    • Fine-tune details together

At the end of the day, your music portal is a collaboration tool. It gives us a clear picture of your style, your crowd, and what matters most to you—so we can do what we do best and bring it all to life.

You don’t need to have every detail figured out on day one. Your tastes might change, you might hear a song that suddenly feels very you, or you may realize later that you care more (or less) about certain moments—and that’s totally normal. That’s why we recommend working on your portal gradually and revisiting it every few weeks.

Most importantly, remember this: this process should be fun. This is you daydreaming about your wedding, your people, and the songs that make you feel something. There’s no such thing as too many notes, too many favorites, or too much personality.
